Role Summary

The Events Manager will report to the Head of Events and is an operational role looking after the day-to-day events business in our Westminster venue, with a primary focus on delivering memorable experiences for our clients.

Central Hall Westminster (CHW) Ltd is owned by Trustees appointed by the Methodist Church; as such we aim to conduct business in line with the ethics of the Methodist Church and our Central Hall Venues (CHV) values. CHV is the brand name for the portfolio of venues run by CHW Ltd.

Location and working pattern

The role is based at our principal venue in Westminster with travel to new and existing venues in the UK on occasion.

The working pattern is 5 days out of 7 flexed as appropriate to meet the needs of the business and to attend networking events.

Duties & Responsibilities

Day to day operational planning

  • Consistently deliver exceptional levels of customer service and event excellence for both internal and external clients.
  • Liaising with clients post contract to plan all operational elements of their booking; coordinating with service teams as necessary and maximising upsell opportunities. This may include additional site visits, production meetings, menu tastings, etc.
  • At all times to consider the profitability of the event, steering decisions as needed to create the best opportunities for Central Hall Westminster Ltd.
  • Overseeing room set ups – ensuring everything is ready prior to the organiser’s arrival.
  • Meet and greet of our clients on the day.
  • Looking after all client needs on the day of their event.
  • Liaising with all service teams on the day to ensure a flawless service, trouble shooting and problem solving as necessary.
  • Ensure the upmost attention is given to Health and Safety procedures whilst planning and running an event; whilst also giving attention to protecting the fabric of our Grade II* listed building.
  • Overseeing close down procedures.
  • Ensuring all invoicing is accurate and timely in line with company process.
  • To create a lasting impression and actively engage in conversations with clients which encourages repeat business.
  • Account management of key clients as agreed with the Head of Sales and Marketing and Head of Events.
  • Use of our venue management system, iVvy to capture all client data and allow meaningful and timely reporting for all service teams maintaining an accurate client database at all times.
  • To support the Church and all internal stakeholders in the planning and running of their events.
  • To build lasting relationships with all service teams, sharing feedback and striving for continued improvement of our service delivery.
  • To represent Central Hall Venues at any fam trip or exhibition opportunities, both on and off site.
  • Attending daily and weekly operational planning meetings and coordinating resources as applicable.
  • Monitoring and responding to client feedback – proactively suggesting improvements as necessary.
  • Advising the sales team on any operational requests and supporting on site visits during the sales process.

This list of duties and responsibilities is not exhaustive, and the post holder may be asked to carry out other duties through discussion with line manager as required by the business.

Health & Safety
Co-operate with the company to ensure compliance with health and safety legislation and the health and safety policies and procedures, not intentionally or recklessly interfere with, or misuse, anything provided in the interests of health, safety, or welfare, in pursuance of the relevant statutory provisions.

General Responsibilities

  • Always comply with current legislation and respect the confidentiality of information in-line with the requirements of the Data Protection Act 2018.
  • Adhere to all company policies, procedures, and business ethics codes.
  • Attendance at company meetings and training courses as required.

Skills & Capabilities
Essential

  • Previous experience in the events or hospitality industry.
  • Experience dealing in high volume and high-capacity events.
  • A team player with the ability to use initiative and respond positively and quickly.
  • Excellent communication skills.
  • Ability to work under pressure, solving problems in a timely and creative manner.
  • Exceptional attention to detail.
  • A high standard of personal presentation.
  • Confident, professional and welcoming personality.
  • Ability to deal with clients in a professional manner.
  • Strong comprehension of spoken English language.
  • An advocate for always putting the client first.

Desirable

  • Experience working in unique venues in London.
  • AV & production knowledge.
  • Venue management system experience and knowledge.
  • A willingness to upkeep the environmental credentials the venue has secured.
  • Experience working with new technologies.
