Role Summary

The primary function of the role is to support financial managers and accounts by handling clerical tasks, maintaining financial records, and ensuring accurate financial processes. The responsibilities are Financial Record-Keeping, Accounts Payable and Receivables, Reporting and Administrative support.

Support for the collection of all debts owed to the company.

Provide accurate weekly/monthly Debtors reports to support the decision making for the Company.

Oversee and support the day-to-day financial enquiries.

The Finance Department is a small, friendly and dedicated team which provides financial operations and management information for decision making of the commercial activities; preparing financial reports for Central Hall Westminster (CHW) Limited and its parent entity, Conference Property at Central Hall Westminster (CP), a registered charity.

Central Hall Westminster (CHW) Ltd is owned by Trustees appointed by the Methodist Church; as such we aim to conduct business in line with the ethics of the Methodist Church and our Central Hall Venues (CHV) values. CHV is the brand name for the portfolio of venues run by CHW Ltd.

Location and working pattern

The role is based at our principal venue in Westminster with travel to existing and potential venues in the UK.

The working pattern is 5 days out of 7 flexed as appropriate to meet the needs of the business.

Key Duties & Responsibilities

  • Daily bank reconciliation
  • Daily oversight of Finance Mailbox, dealing with enquires
  • Ensure timely and accurate processing of finance operations (sales invoicing, accounts payable, cash payments, bank payments and receipts).
  • Weekly BACS payment run
  • Manage credit card payments and expenses
  • Monitoring iVvy to make sure sales invoices are exported to Xero correctly
  • Preparation of monthly bank reconciliations for CHW
  • Prepare weekly/monthly debtors report
  • Maintaining client and supplier details.
  • Providing cover and support for Management Accountant and purchase ledger functions
  • Support in year-end accounts preparation and audit assistance; liaising with external auditors as required.

This list of duties and responsibilities is not exhaustive, and the post holder may be asked to carry out other duties through discussion with line manager as required by the business.

Leadership

  • To support and assist others within the Finance Department.
  • To support all other Departments within CH Venues.
  • To support all internal and external stakeholders.

Governance, Risk & Compliance

  • Effective credit control – consistent, persistent, and polite payment reminders issued to clients.
  • Ensure segregation of duties.
  • Apply appropriate controls over new supplier accounts.

Technology

  • To be proficient in all accounting aspects surrounding use of the iVvy Venue Management System.
  • Proficient in the use of MS Office 365.

General Responsibilities

  • Always comply with current legislation and respect the confidentiality of information in-line with the requirements of the Data Protection Act 2018.
  • Adhere to all company policies, procedures, and business ethics codes.
  • Attendance at company meetings and training courses as required

Co-operate with the company to ensure compliance with H&S legislations and the H&S policies and procedures, not intentionally or recklessly interfere with, or misuse, anything provided in the interests of health, safety or welfare, in pursuance of the relevant statutory provisions.

Skills & Capabilities
Essential

  • Strong numeracy & spreadsheet skills.
  • Attention to detail.
  • An understanding and sympathy to the values of the Methodist Church.

Desirable

  • Finance Experience including accounts payable, banking and cash handling, invoicing and debt management.
  • Excellent communication skills, both verbal and written.
  • Computer literate (Windows Office Software packages)
  • Events industry experience.
